We collect the documents you submit for analysis (quotes, invoices, purchase orders, and any supporting materials), along with the contact information you provide when starting an engagement: your name, company name, and email address. If you reach us by email, we retain that correspondence as part of your engagement record.
Your documents are analyzed using AI language models operated by Anthropic, PBC ("Claude"). Extracted data, comparisons, and narrative summaries are generated with AI assistance and reviewed by Charter & Ledger before delivery. Your documents are transmitted to Anthropic's API for this purpose and are subject to Anthropic's data processing terms. We do not use your data to train AI models.
We use a small number of infrastructure providers to deliver the service. Each handles your data only as necessary for their role:
We do not sell your data or share it with any party outside this list.
Your supplier names, pricing, and distributor relationships are treated as confidential. They will not be disclosed to other clients, used in any public-facing materials, or shared with outside parties beyond the subprocessors listed above.
Over time, this service builds a proprietary dataset of anonymized distributor pricing. Your data may contribute to that dataset, but only after all identifying information is removed. No client name, no supplier names, nothing traceable back to you or your business.
You can opt out. Let us know in writing before or during your engagement and your data will not be used for benchmarking. Your deliverables are not affected either way.
Your files and engagement data are kept for your engagement period plus 12 months. To request early deletion, notify us in writing and your data will be removed within 30 days. Some records may be retained longer if required by law.
